The Enterprise Risk Management Administrator provides administrative support to the vendor management function, maintaining vendor files and completing required vendor due diligence in a timely manner. Assists in onboarding new vendors through documentation (contracts and otherwise) reviews and ensuring that the prospective vendor meets the Credit Unions needs and standards. Provides clerical and operational assistance to the various functions under Enterprise Risk Management.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Perform various clerical tasks such as: filing, alphabetizing, and assessing and recording file inventory.
  • Maintain vendor records in the credit unions vendor management software, to include ensuring any contact or vendor changes are made promptly within the software as we are made aware of them.
  • Perform vendor risk assessments by collecting and confirming vendor security and performance information with contacts both internal and external.
  • Review incoming documents such as contracts, non-disclosure agreements, vendor checklists and vendor questionnaires for completeness; meaning documents are signed and dated, and review other elements within contracts and agreements as trained to make sure documents meet Credit Union standards.
  • Manage new vendor onboarding requests and process within Credit Unions vendor management software to include Office of Foreign Assets Control (OFAC) searches, Google searches, and other common database searches to assess business reputation and performance.
  • Assist in identifying vendor Service Level Agreements within contract documents and ensure SLA information is uploaded into the vendor management software for ongoing monitoring of vendor performance.
  • Scan contracts and related documents and upload to electronic vendor file, using the Credit Unions vendor management software. Create tickler for annual due diligence requirements and automated notices to appropriate department leader.
  • Prepare correspondence such as emails and notices to internal and external clients to request due diligence documentation to support vendor management and business continuity planning requirements.
  • Communicate with departmental leaders across the CU as to vendor performance and issues. Assess vendors performance as part of vendor due diligence using established questionnaires.
  • Assist ERM department staff in maintaining files and databases for its three divisions; Operational Risk, Regulatory Risk and Information Security Risk. Provides clerical and operational support where needed.
  • Remain cognizant of and adheres to Andrews Federal policies and procedures, and regulations pertaining to the Bank Secrecy Act.
  • Interacts with co-workers, supervisors, members, and outside contacts in an appropriate, professional manner which projects a positive image of the ERM department and Andrews Federal.
  • Assist with other tasks as assigned.

QUALIFICATIONS:

  • 1-3 years of previous vendor management experience, or related risk management experience, is preferred but not required.
  • Proficiency with Microsoft Office required, with particular knowledge and experience with Microsoft Excel.
  • Must be detail oriented and able to effectively manage multiple priorities simultaneously.
  • Must possess excellent organizational skills.
  • The ability to write documents which communicate in a clear and concise manner and with proper grammar is required. Excellent communication and interpersonal skills with a high degree of professionalism and competence in dealing with a variety of individuals internally and externally.
  • Must be able to assume responsibility and exercise authority over assigned work functions in order to meet established deadlines.

PHYSICAL REQUIREMENTS:

Must be able to lift up to 25 pounds. Must be able to sit and stand with repetitive motion for extended periods of time while filing. Requires the ability to sit at a desk and computer for extended periods of time. Must be able to operate standard office equipment to include: keyboard, copier and fax.
